Pratt Center Seeks Assistant to the Chairperson (NYC)

TITLE:

Asst. to the Chairperson – Graduate Center for Planning and the Environment

POSITION SUMMARY:
 Under general supervision and with wide latitude for independent judgment performs a variety of tasks in support of a department within the School of Architecture.  Reporting directly to the chairperson, the individual will manage the office, oversee routine departmental activities and provide supervision to staff and interns. POSITION RESPONSIBILITIES:

  • Organize and maintain updated records of student enrollment statistics, student portfolios, interviews with the Chairpersons and notifications of acceptance and rejections.
  • Maintain and monitor enrollment records, independent studies, thesis proposals and preparation of documentation for continuing and international students.
  • Counsel students in their academic program.
  • Counsel prospective applicants for proper submission of work and information on departments’ programs.
  • Serve as liaison with undergraduate Architecture and other Institute departments in matters of curriculum affairs.
  • Oversee overall office operations (i.e., supervise work/study students; schedule, supervise and assign research tasks to graduate and undergraduate interns, maintain confidential student files, etc.).
  • Compile information for research, reports and special proposals; maintain a database of faculty and students.
  • Plan and assist with lectures, symposiums and other special events.
  • Prepare student evaluations for graduation.
  • Coordinate preparation of part time faculty payroll and contracts.
  • Assist with registration, programming and other course scheduling, check requisition, financial aid to students and scholarship/assistantship.
  • Provide general office support (i.e., answer telephones, transcribe and type reports, initiate and generate correspondence, maintains Chairpersons’ calendars, etc.).
  • Perform all other related duties as assigned.

QUALIFICATIONS:

Education:  Bachelor’s degree or equivalent.

Experience:  Three years’ administrative experience, preferably in a higher education environment.

Knowledge and Skills: Above average knowledge of word processing and spreadsheet software; WordPerfect and MS EXCEL preferred.

Other: Must have demonstrated ability to work independently and juggle several complex tasks simultaneously, as well as have excellent verbal, written, organizational and interpersonal skills.
