Campaign for Black Male Achievement Seeks Executive Assistant to the Chief Executive Officer (NYC)

Established in 2008 as an initiative of the Open Society Foundations, the Campaign for Black Male Achievement (CBMA) spun off into a separate not-for-profit entity in 2015 and is now a national membership network with a mission to ensure the growth, sustainability, and impact of leaders and organizations committed to improving the life outcomes of Black men and boys. CBMA’s work sits at the intersection of movement- and field-building, supporting local leaders on the ground while at same time amplifying and catalyzing the Black Male Achievement movement across the country. We have 5,000 individual members and 2,700 organizational members representing a vast array of providers, policymakers, and stakeholders.

Campaign for Black Male Achievement (CBMA) continues to grow its presence across the nation to elevate the CBMA brand and increase the awareness of Black male achievement (BMA) as both a field and a movement, nationally. We support BMA leaders across the United States and work to shift the public narrative to one that affirms Black men and boys as assets rather than as liabilities and threats. BMR is part of CBMA’s ongoing narrative change work to ensure more accurate depictions of Black men and boys, and their communities through a series of public events, monthly network calls, webinars, social media campaigns and partnerships with mainstream outlets such as Vice.com, Cassius, and the Root.

Job Description

The Executive Assistant is responsible for assisting and supporting the Chief Executive Officer. Major responsibilities include managing schedules for the CEO, serving as the primary point of contact for the CEO, serving as a liaison with the Board of Directors, organizing and coordinating external and internal relations and overseeing special projects for the CEO. The Executive Assistant must enjoy working with a small, mission-driven agency that is results oriented and community focused. The ideal individual will have strong communication skills, the ability to exercise good judgment in a variety of situations and exceptional organizational skills. The Executive Assistant must be able to handle multiple priorities and work independently. The Executive Assistant must be able to see a project through from inception to completion, to work under pressure and be able to handle diverse activities.

Roles and Responsibilities

General

·      Scheduling and organizing meetings, appointments and other CEO commitments.

·      Assisting with teleconferencing and videoconferencing as necessary.

·      Booking rooms, ordering food, preparing materials and arranging transportation as necessary per request of the CEO.

·      Anticipating CEO needs in relation to meeting preparation.

·      Maintaining updated electronic contact records for CBMA.

·      Using cloud, web and other network resources to maintain accessible materials and records for CEO, including archival electronic and selective hardcopies.

·      Screening calls and mail, forwarding, handling and/or directing them as appropriate.

·      Arranging CEO travel and meetings by developing itineraries and agendas, scheduling flights, booking transportation and lodging and meeting accommodations, as needed.

·      Attending select meetings, taking minutes, writing up minutes and disseminating. Tracking projects for follow up.

·      Maintaining and following standard procedures for compliance and operations.

External Engagement, Communications and Outreach

·      Representing the CEO by welcoming visitors, reviewing correspondence; arranging meetings and other agency functions as directed by the CEO.

·      Following up on contacts made by the CEO and supporting the cultivation of ongoing relationships.

·      Editing and completing first drafts for communication with external stakeholders.

·      Drafting and formatting letters and emails as appropriate for general and routine correspondence, both internal and external.

CBMA Board of Directors

·      Providing administrative support to the CBMA Board of Directors members.

·      Scheduling Board Meetings, circulating agendas and board materials, attending board meetings, taking meeting minutes and circulating post-meeting materials.

Organizational Development & Management

·      In collaboration with CEO and Executive Leadership Team, preparing the CEO’s annual office budget and work plan, monitoring expenditures and submitting timely reports.

·      Coordinating Performance Evaluation schedules between managers and their direct reports.

·      Working closely with CEO and designated staff with the organizing and planning of quarterly staff retreats.

·      Representing CBMA in external meetings, as needed.

·      Supporting new staff on-boarding

·      Managing and updating organizational master calendar.

Other

·      Position is full time exempt.

·      Travel may be up to 5% and may include weekends.

Work Environment and Physical Demands

·      Essential functions are typically performed in an office with low-level noise. Job may require lifting typical office materials from time to time. The role routinely uses standard office equipment such as: computers, phone, photocopiers, filing cabinets etc.

Education/Qualification

·      Bachelor’s degree required.

·      Minimum five to seven years’ experience supporting an ED or CEO, preferably in a non-profit.

·      Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat and social media platforms.

·      Maintain a professional demeanor in all situations.

·      Able to honor confidentiality policy of CBMA.
