Job Overview

The Executive Assistant provides the highest level of direct administrative support to the Chief Executive Officer (CEO) to facilitate the Chief Executive in the successful achievement of the organizational priorities and mission. Reporting to the Chief of Staff, the Executive Assistant manages all scheduling, travel arrangements, management of expenses, coordination of reports, and performs other critical administrative functions to the highest standards in a very fast –paced environment.

Specific duties and responsibilities include:

– Provide first point of contact for all telephone calls to the Chief Executive, ensuring queries are directed appropriately and / or follow up action is taken promptly and managed effectively

– Monitor CEO’s email, alerting Chief of Staff and/ or CEO to issues as required and / or redirecting to appropriate FPWA staff and ensuring follow up on any outstanding issues

– Prepare correspondence on behalf of the Chief Executive as required

– Manage the CEO’s calendar and schedule, taking account of both internal and external organizational priorities

– Make all relevant travel arrangements including coordinating accommodation, ground transportation, event bookings and any other associated specific requirements

– Ensure briefing packs, meeting materials and or required supporting information is available for the Chief Executive in a timely manner before any meetings, liaising with the Chief of Staff as necessary Page 2 of 3

– Process all expenses and expense reports in a timely manner and in accordance with FPWA policies

– Coordinate all internal meetings involving CEO including catering, accommodation needs, and so on – Provide administrative support to all meetings of Board of Directors including scheduling meetings, answering queries, collation, production and distribution of Board materials, coordination of room requests, catering, and so on

– Undertake any other administrative duties required to ensure smooth running of Executive office including filing, photocopying, sorting mail, messenger services, working with Chief of Staff to prioritize requests, etc.

An effective Executive Assistant will have the following experience and competencies:

  • Minimum 3 years relevant work experience in a fast – paced, high –volume, professional environment.
  • Comfort with technology including excellent MS Office skills, particularly Outlook, PowerPoint, Excel, Word. Minimum Bachelor’s level education
  • Highest levels of professionalism, smart and ‘polished’, ensuring representation of the organization to the highest standards
  • Highest level of integrity, maintains confidentiality and exercises discretion, tact and diplomacy
  • Administrative Excellence: Demonstrates excellent administrative, coordination and organizational skills; understands and manages priorities and is able to manage multiple tasks while maintaining standards and attention to detail; demonstrates ease in use of technology effectively in workplace. The Federation of Protestant Welfare Agencies (FPWA) seeks a creative and proactive manager to lead its Group Purchasing Service (GPS). This is an excellent opportunity for an experienced self-starter with purchasing experience, including marketing, outreach, and vendor management, to strengthen an essential service for our member agencies.

Originated in 1943, GPS was initially designed to help agencies cope with the scarcity of goods created by World War II. Operating continuously since, GPS now has 300 purchasing partners consisting of non-profits and places of worship throughout NYC that leverage their cooperative purchasing power to ensure the best product for the most reasonable price. As purchasing partners maximize their cooperative purchasing power they operate in a more efficient manner and save money that is vital to increasing their program operations. The manager is responsible for the overall operation of GPS and serves as the liaison between GPS’ purchasing partners and vendors.

The manager will be expected to establish a strategy to implement realistic goals for increased partnerships, volume, and revenue growth. Additionally, the manager will develop and execute mechanisms to track partner participation, ensure appropriate reporting, and identify opportunities for future growth. The manager will also be responsible for re-establishing relationships with lapsed purchasing partners, increasing usage by current partners, and recruiting new purchasing partners. The successful candidate will also manage all aspects of vendor relations including conducting competitive bids, developing opportunities in new product areas, and establishing funding partnerships with key suppliers. As a member of the Member Initiatives Unit within the Policy and Program Department, the manager is expected to work collaboratively with others to engage and strengthen FPWA member organizations.

The successful candidate will possess an entrepreneurial spirit with professional administrative and marketing experience. Specifically, the right candidate will have:

1. A baccalaureate degree (or equivalent) from an accredited college in business, marketing, public administration, finance, accounting, or other fields related to the objectives of the program
2. A minimum of two years of satisfactory full-time professional experience in one or a combination of the following: purchasing, economic or financial administration; sales and business development; wholesale or retail marketing; vendor management; program management and administration; fiscal management; or in a related area
3. At least one year experience in an executive, managerial, administrative, or supervisory capacity
4. Proven experience in vendor management and/or customer relations (direct retail or wholesale is a plus)
5. Experience in the creation and implementation of business plans
6. Excellent computer skills with prior experience of creation and maintenance of database information
7. Excellent interpersonal relations and communication skills with the ability to demonstrate tact and diplomacy while enjoying working as part of a team
8. Strong negotiation skills
9. Demonstrated ability for general budgeting and accounting
10. A proactive, results oriented attitude with proven ability to manage multiple tasks and properly measure success
11. Interest in the work of FPWA and commitment to the mission of assisting in the service of New York Cities neediest and most vulnerable citizens.

Overall work experience in the non-profit environment is considered a plus.

POSITION SCOPE:

The Policy Organizer is responsible for building and managing 1-2 advocacy campaigns, organizing/mobilizing activities connected to PAR’s advocacy campaigns and priority issues, being the primary driver of member and ally engagement on policy advocacy and building political relationships.

MAJOR RESPONSIBILITIES:
1. Develop and implement 1-2 advocacy campaigns
 Identify key policy priorities for advocacy campaigns to build a city of equal opportunity
 Create and manage comprehensive advocacy plans for the campaigns
 Build new and innovative advocacy campaigns, in close collaboration with staff, stakeholders and allies, that enable us to achieve our strategic goals
 Effectively manage the various elements of the advocacy campaigns:
o Identify key decision makers and build political relationships
o Build and maintain an effective coalition
o Engage grassroots and key contacts
o Timely gather data and information, as needed
o Assist with developing effective campaign media strategies

2. Assist with 1-2 advocacy campaigns
 Work closely with Policy, Advocacy and Research Team on other advocacy campaigns
 Assist with organizing and mobilizing activities on these campaigns
 Ensure grassroots and grasstops engagement in advocacy campaigns and other policy
initiatives

3. Be the primary driver of member and ally engagement on policy advocacy
 Effectively organize/mobilize member agencies, their constituents, and allies to participate in advocacy campaigns and activities by:
o Conducting effective outreach and organizing work
o Building relationships with staff, constituents, and allies
o Increasing the advocacy capacity and leadership of staff, constituents, and allies
o Developing new and creative engagement/community outreach efforts
o Providing opportunities for advocacy (e.g., meetings with key elected officials, e-advocacy, etc.)
o Coordinating regular meetings to ensure ongoing buy-in, engagement and leadership in campaigns
o Developing advocacy materials and event-related documents (e.g., flyers) that are informative, inspiring, and creative to ensure good attendance and engagement of the target audience
 Work with FPWA’s Faith Organizer and Member Outreach Coordinator on capacity building and cross-unit collaboration to increase engagement of members and faith leaders

4. Administration
 Ensure timely recording of data connected to Outcome Measurement
 Assist with fund development including drafting proposals, writing reports, and supporting fundraising activities as needed
 Perform administrative duties as required by the PAR Unit (e.g., setting up for meetings and events, ordering of photocopy jobs, phone calls, etc.)
 Serve on internal committees representing FPWA including the Board Public Social Policy Committee, Policy and Program Department meetings, and others as directed
 Perform all other related duties as assigned. Work on related FPWA efforts as assigned.

York’s most vulnerable by advocating for just public policies and strengthening human service organizations. FPWA has a membership network of nearly 200 human service organizations
and churches that operate over 1,200 programs throughout the New York City metro area. Together we serve over 1.5 million low-income New Yorkers of all ages, ethnicities and denominations each year.

POSITION SCOPE:
The Senior Policy Analyst is responsible for policy formulation, direction, and implementation of campaigns focusing on promoting policies that improve the social and economic well-being of low income New Yorkers. FPWA recently completed our strategic plan and has the vision to be a driving force behind unparalleled upward mobility for New York’s most vulnerable. The Analyst is a critical position to achieving this vision, and we are looking for a dynamic and strategic new team member who has the broad skills and passion needed to implement large-scale change.

MAJOR RESPONSIBILITIES INCLUDE:
Policy Advocacy (90%)
 Assume primary responsibility for the policy formulation, direction and implementation of advocacy campaigns designed to impact low-income New Yorkers, including an existing campaign designed to reform City and State social service contracting processes to
provide a living wage and career ladder development opportunities to all social service employees.
 Collaborate with member agencies, allies, coalition groups, and across FPWA departments to promote and advance policy campaigns through the implementation of effective advocacy and engagement strategies.
 Identify new and emerging policy priorities that impact vulnerable and low-income populations, are of interest to our member agencies, and provide opportunities for FPWA
leadership.
 Conduct timely analysis and maintain on-going monitoring of relevant proposed and enacted legislation and regulations on the city, state and federal levels.
 Produce high-quality policy documents (e.g., policy statements, articles, testimony, memos of support or opposition, etc.) that are well researched, strategic and well written.
 Develop and maximize strong and effective relationships with key legislators and staff.

Administration (10%)
 Assist with fund development including drafting proposals, writing reports, and supporting fundraising activities.
 Perform administrative duties as required by the issue areas and by the PAR Unit (e.g. setting up for meetings and events, ordering of photocopy jobs, phone calls, etc.).
 Serve on internal committees representing FPWA
 Perform all other related duties as assigned. Work on related FPWA efforts as assigned.

QUALIFICATIONS:
 Policy Advocacy – demonstrated advocacy skills and experience; proven success with coordinating advocacy campaigns; knowledge of policy issues in the New York City and State human services field; firm understanding of city, state and federal legislative processes; proactive in prioritizing and selecting among numerous issues worthy of advocacy and the ability to assess and justify the continuation or discontinuation of certain initiatives and activities.
 Nonprofit Experience – track record in the nonprofit sector; experience with working in, or coordinating, coalitions; demonstrated experience with not-for-profit contracting policies and issues; knowledge of the social welfare fields in New York, including public and voluntary agencies and churches; positive relationships with decision makers, nonprofit leaders and
faith-based organizations.
 Project Management – proven leadership skills as evidenced by program and/or project management, ability to facilitate teamwork; ability to think strategically and anticipate future consequences and trends; capacity to incorporate changes into program plan.
 Action Oriented- enjoyment of working hard and looking for challenges; ability to act and react as necessary, even if limited information is available; a high degree of independence, flexibility, initiative, commitment and ability to work as part of a team.
 Communication Ability – excellent writing, analytical, research and speaking skills; ability to work as part of a team; experience facilitating meetings and workshops; ability to work effectively with internal and external stakeholders; ability to develop effective partnerships; demonstrated media skills and experience preferred.
